This policy explains how Link Prism Limited (“Link Prism”, “we”, “us” or “our”) handles personal information on the Link Prism marketing website and when you contact us about our products and services.
Scope
This policy applies to this marketing website, its contact form and the conversations that follow from an enquiry. It does not describe how a Link Prism customer uses personal information inside the Link Prism service; that information is controlled by the relevant customer and is covered by the agreements for that service.
The website is intended for business enquiries and is not directed to children.
Information we collect
When you submit the contact form, we may collect:
- your name, work email and optional phone or WhatsApp number;
- your business name, business type and number of locations;
- your preferred meeting format; and
- anything you choose to include in your message.
Our hosting infrastructure also receives ordinary technical request information, such as an IP address, request time and browser or device details. We use that information to deliver and secure the website, including to limit automated or excessive form submissions. We do not store an IP address with the structured enquiry record.
How we use information
We use personal information to:
- respond to your enquiry and arrange a demonstration or meeting;
- understand your business and prepare a relevant conversation;
- maintain the security and reliability of the website;
- keep appropriate business records; and
- meet legal, regulatory or compliance obligations.
Where consent is required, you may withdraw it at any time. Withdrawal does not affect processing that took place before it was withdrawn.
We do not sell personal information, build advertising profiles from contact enquiries or use the marketing website to place analytics or advertising cookies.
Google services and OAuth
Our email delivery service may use Google OAuth authorization granted by the Link Prism-managed Google Workspace account at hello@linkprism.app. We use that authorization only to authenticate and send messages connected with website enquiries and related business correspondence.
We do not ask website visitors to connect a Google Account. We do not use the Link Prism mailbox authorization to read, analyse, download, modify, delete, sell or share Gmail mailbox contents. OAuth credentials are kept as restricted service configuration and are not placed in contact enquiry records or exposed to website visitors.
Link Prism’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements.
Sharing and transfers
We share information only where it is needed to operate the website, communicate with you, protect our rights or comply with law. This may include service providers that support our hosting, database and email operations, including Google Cloud, Firebase and Google Workspace.
Those providers may process information in locations outside Hong Kong. Where information is transferred, we take reasonable steps to use providers and safeguards appropriate to the information and the service.
We may also disclose information to professional advisers, regulators, courts or public authorities where reasonably necessary or legally required. If you follow a link to WhatsApp or another third-party service, that service handles information under its own privacy terms.
Retention and security
The structured enquiry record created by the contact form is scheduled for deletion after 90 days. Email notifications and later correspondence may be kept for longer where reasonably needed to manage the business relationship, maintain records, resolve a dispute or comply with law.
We use reasonable administrative and technical measures intended to protect personal information. No website, transmission or storage system can be guaranteed to be completely secure.
Your choices
Subject to applicable law, you may ask us to access, correct or delete personal information we hold about you, or to stop using it for a particular purpose. We may need to confirm your identity before completing a request.
You may also choose not to provide optional information. If you do not provide information marked as required, we may not be able to submit or respond to the enquiry through the form.
